What is an ECM...
An ECM is an enterprise platform for digital content management that includes set of strategies, methods and tools used to capture, manage, store, preserve and distribute structured and unstructured content, documents and information to support key organizational processes throughout the lifecycle.
Capture
This component deals with the conversation of information from paper documents into a digital format by scanning. It is also used to associate digital file content to a consistent structure for management.
Preservation
This component deals with the secure and long-terme storage of static and uneditable content. Preservation application modules are divided into three categories: Repositories, that include storage resources, Document Libraries including tools for organizing repositories, and Preservation Technologies.
Management
This component includes the functionalites for content organization and management, collaboration, workflows and business processes related to the lifecycle of documents and information, in compliance with the industry directives and regulations.
Distribution
This component deals with content delivery, that includes conversion and release of the information managed by the other components. Internal modules are divided into specific technology groups: transformation, security, distribution and publishing, that can also be implemented as independent components.
Why ECM is so important
Across industries and service sectors, effective enterprise-wide content management solutions are improving daily processes minimizing overhead. They play a key role in removing content that no one needs, including duplicate files and outdated information. On a more practical level, they’re helping to reduce the amount of storage and paper required by businesses and the content they share.
The implementation of centralized repository to manage corporate and departmental archives, document templates, versioning, permissions and privileges for different classes of users allows you to organize data, workflows and document all activities performed (approvals, authorizations, subscriptions, etc). In this way the updating, distribution and monitoring of critical business information is performed in a much more structured and effective way.
One of the main reasons organizations adopt ECM systems for enterprise content management is related to productivity. In fact, it is recognized that managing and sharing business documents and information among colleagues, departments and external collaborators is very complex and costly. By adopting an ECM, it is possible to simplify the search for documents, regulate and speed up the sharing of business information, increasing significantly the general productivity of business acitivities.
The coordination, organization and sharing of business and departmental processes is one of the most critical issues to be addressed within the organization. The use of a document flow digitization platform is key to improving efficiency and ensuring collaboration as it coordinates activities between users and departments and optimizes workload distribution. An additional benefit of unifying business data across all departments within ECM is immediate access to information and the breaking down of data silos, separate data repositories that arise within an organization or between departments using non-integrated systems.
Using a centralized ECM platform ensures that company documents, files and information management procedures are compliant to company policies, international industry regulations and to ISO quality standards (e.g. PA, supply chain, manufacturing, healthcare, aviation design...).

Document
Management
Organize content into document libraries and manage any file format: images, digital documents, digitally signed files and proprietary files such as maps or vector drawings, audio and video files.
Collaboration
Secure collaboration on documents instantly with easy review, sharing and annotation from internal and external users, even if they don't have access to the same applications of your teams.
Automated Capture
Define custom processes capable of capturing information and files from any source: management systems, databases, information streams, network folders, ftp servers or other scanning devices.
Projects and
digital files
Manage practice documents, files and projects in a complete digital manner. Appoint a manager and invite your colleagues or external users to collaborate on shared documents and folders in a very intuitive way.
Document Templates
Define centralized document templates such as letterheads, orders, bills, invoices, etc. in the desired format, configure properties and rules for automated build, and maintain consistent corporate visual branding.
Digital Signature
Digitally sign, time stamp and verify any document in a very intuitive way using any format (CADES, PADES and XADES) or use an internal HSM signature server.
Metadata
Management
Define and associate structured information with digital content and manage all types of metadata, including identification, classification, archiving, protection, retrieval, and permanent preservation.
Registers and Directories
Create annual business registers and directories to progressively number and protocol specific types of documents or files (minutes of meetings, Boards of Directors, resolutions, speeches, legal files, etc.)
Legal Storage
Generate submission information packages of digital documents or files in compliance with current regulations, schedule integrity verification sessions and automated deposit in any regulatory preservation system.
